Office Specialist 2 – Multiple Openings (Sunnyside & Beavercreek Clinic)

Clackamas County Health, Housing and Human Services (H3S) - Health Centers, is looking to fill two Temporary Office Specialist 2 positions for the Front Office and Call Center within multiple clinics.

We have two open positions. One will be patient facing and the other will be handling more administrative tasks. Temporary OS2’s perform as on-call back up to permanent Office Specialist 2’s in the clinics. Their primary functions are to perform the duties of the Front Office and Call Center in the clinics. In the Front Office, Office Specialist 2’s check patients in, verify insurance, schedule appointments, and perform a variety of clerical duties. In the Call Center, Office Specialist 2’s primarily answer phones, send communications to clinic staff via the electronic health record and schedule appointments.

Role and Responsibilities

  • Greet patients, verify and update demographic, insurance and contact information in the electronic health record and check patients in for their appointments. Engage patients regarding their insurance coverage either on the phone or in person. Refer to Oregon Health Plan staff if patient is uninsured and potentially eligible for coverage. Support front desk staff at potentially all health centers locations, including school based health centers.
  • Receive, transfer or refer calls to proper sources; provide complex or technical information which requires the interpretation of office or program policies and procedures in order to facilitate office operations. Communicate to clinical office via staff messages and telephone notes as appropriate, using the electronic heath record. Support call center staff at potentially all health centers locations, including school based health centers.
  • Complete side tasks when not checking in patients or answering phones such as ordering interpreters for appointments, processing mail and interoffice mail, completing appointment scheduling requests, processing incoming e-faxes, maintaining lobby areas, gathering paperwork from back office areas.
  • Process complex or technical materials electronically and on paper such as medical forms, formal documents and records where specific procedural requirements are somewhat complicated, and where accuracy and effectiveness are critical. Review paperwork for accuracy and correct mistakes prior to submission.

Minimum Qualifications

  • A minimum of two (2) years of relevant experience in an administrative office support or clerical role where customer service was an important part of the job
  • Work experience handling a high volume of calls and greeting walk-in visitors
  • At least one (1) year of data entry experience
  • At least one (1) year of customer service experience
  • Exceptional organizational skills
  • Strong verbal and written communication skills, including ability to communicate well with members of a diverse population
  • Ability to maintain composure in stressful situations when dealing with a variety of people
  • Must pass a post-offer, pre-employment drug test. Learn more about the County's drug testing policy. Must pass a criminal history check which may include national or state fingerprint records check
  • Driving may be necessary for County business. For position(s) with occasional/incidental driving, incumbents must possess a valid driver's license. Accommodation requests for an acceptable alternative method of transportation will be reviewed on an individual basis in compliance with State and Federal legislation. For position(s) with regular driving, incumbent(s) must also possess and maintain an acceptable driving record throughout the course of employment. Learn more about the County's driving policy.

  • Past clinical work setting experience

Schedule

Supervisor can ask applicants to work Monday – Friday based on need. Shifts are assigned on day of or ahead of time whenever possible to cover sick calls or vacations/extended leaves for other Call Center or Front office clinical staff or administrative tasks. Shifts can be assigned at Sunnyside, Beavercreek, Gladstone, or Sandy Clinic(s). Applicant can expect to receive an average of 30hrs per week, but this is not guaranteed and can fluctuate depending on operational needs. Clinic hours are 8AM-7PM Monday – Thurs and 8AM-5PM on Fridays. More details can be provided at interview.
