Clackamas County's Facilities Management Division has an opening for a part-time Office Assistant to serve as the Lobby Staff Receptionist in the county's Public Services Building (PSB) and Development Services Building (DSB). As an Office Assistant, your primary role will be providing customer service and maintaining the cleanliness of common areas. Essential duties include greeting and directing citizens, screening visitors, and identifying accommodation and safety needs. You will be responsible for opening and closing buildings, conducting end-of-day walkthroughs for security, and ensuring the overall safety and functionality of the PSB and DSB.
This role requires a proactive individual with excellent communication skills and a keen eye for detail to ensure the lobby's and facilities' smooth operation.
Roles and responsibilities
The Lobby Staff's primary role is customer service to both internal and external customers of Clackamas County.
- Customer Service:
- Greet and direct visitors to appropriate staff, County services, and external agencies.
- Screen visitors and identify service animals or accommodation needs.
- Building Maintenance:
- Ensure PSB & DSB buildings are clean, safe, and functional in common areas.
- Submit work requests for cleaning, plumbing, and safety issues.
- Conduct litter patrol and manage coffee grounds recycling in designated areas.
- Project Assistance:
- Complete small projects for staff in PSB, DSB, and Central Utilities Plant.
- Tasks may include mailings, scanning, routine special projects, and data entry.
- Meeting Room Management:
- Monitor conference room readerboards for accuracy.
- Update meeting schedules daily.
- Assist with conference room set-ups for county meetings.
- Building Security:
- Assist in opening and closing DSB/PSB buildings.
- Provide after-hours lobby coverage and secure doors after meetings.
- Emergency Response:
- Document incidents and provide AED/first aid support during evacuations.
- Keep floors dry and free of hazards.
- Assist in elevator safety calls and complete incident accident forms when required.
Minimum qualifications
- Ability to stay attentive in both slow and hectic surroundings
- Clear communication skills, including basic conflict resolution and problem-solving techniques
- Proficient in office tasks such as scanning, data entry, and mailings
- Ability to follow Safety Policies and Procedures
- Basic housekeeping/custodian skills
- Must successfully pass a criminal history check, which may include national or state fingerprint records check
- Employment is contingent upon passing a post-offer physical assessment. Accommodation requests will be reviewed on an individual basis in compliance with State and Federal legislation.
Preferred qualifications
- Knowledge of the Clackamas County Campus and County programs
- Ability to use Microsoft Excel and Word
- Knowledge of safety and accident prevention practices
Schedule
Flexible schedule ranging from 6:45 am –6:15 pm Monday–Friday with some evenings, 16-22 hours a week and 4-6 hour shifts. This position is an essential personnel position that may require work outside of the standard shift and duties.
